A checklist for comparing wholesale coffee quotes

Before comparing wholesale quotes, send every supplier the same brief: business type, equipment, requested product, pack size and estimated order quantity. Ranking prices for different products or volumes directly can be misleading. Check product suitability separately through sample evaluation; this checklist is for comparing purchasing terms.
For each quote, record the product name, net weight, pack count, price per kilogram and whether tax is included. Put shipping, minimum orders and any additional fees in separate columns. Mark an unspecified charge as 'awaiting confirmation' rather than zero. Calculate totals for the same quantity and included items before choosing the lowest kilogram price.
In a hypothetical arithmetic example only, tax-inclusive quote A charges 600 TL per kilogram plus 200 TL shipping per order; quote B charges 630 TL per kilogram with shipping included. At ten kilograms, the totals are 6200 TL and 6300 TL; at five, they are 3200 TL and 3150 TL. We assume both quantities meet each supplier's minimum order. These are not Kimor prices; the example shows how order size can change the result.
Ask separately when order processing starts, how long dispatch takes and when delivery is expected. Clarify the quote's validity, payment timing, the procedure for incomplete or damaged orders and how product changes will be communicated, in writing. If training, equipment or technical support is mentioned, ask about scope and cost rather than assuming inclusion.
Finish your comparison table with rows for 'confirmed total', 'open questions' and 'fit for the business'. A business placing small orders, for example, may need to check the minimum quantity before prioritizing a lower kilogram price.
